Venar Ayar

Venar Ayar is the founder of Ayar Law, a Michigan-based tax resolution firm that helps individuals and businesses resolve complex IRS and state tax matters. A tax attorney by training, Venar also leads DV Injury Law, a mass tort intake firm, and Ayar Accounting, which supported ERC/COVID relief filings during the pandemic.

From managing audits and tax fraud defense to building call centers and launching national intake operations, Venar is a business-minded legal entrepreneur who’s used Lawmatics to scale operations far beyond the walls of a traditional law firm.

His firsthand experience running businesses, from supermarkets to accounting services, has shaped his systems-oriented approach to law. For Venar, Lawmatics became the infrastructure that allowed him to step out of the day-to-day and focus on building scalable, cross-functional legal businesses.

What our customer have to say

“I don’t want to just practice law — I want to run a business. Lawmatics gave me the freedom to do that.”

The mission

Venar’s vision wasn’t just to run a law firm — it was to build a business that could grow without relying on him. Before Lawmatics, however, his team struggled with serious operational roadblocks. Without a CRM or centralized system for intake, follow-ups were often missed and leads slipped through the cracks. Client onboarding was slow and heavily manual, with documents collected piecemeal and no clear status tracking. High intake volumes only magnified the problem, and the lack of reporting left him without visibility into performance. “I was using Outlook and memory to track client status,” Venar recalls. “We couldn’t scale. I knew I needed automation, but I wasn’t a developer.”

Challenges

Fragmented intake with no centralized system

Before Lawmatics, Ayar Law’s intake process was manual and disorganized, with no CRM or system of record to track prospects from first contact to signed client. The team relied on Outlook, memory, and piecemeal tools to manage leads, which resulted in missed follow-ups, lost opportunities, and inconsistent client onboarding. “We couldn’t scale with what we had in place,” Venar recalled.

Lack of visibility into high-volume operations

With hundreds of potential clients coming in each week across multiple business units, the firm had no way to track status, measure conversion rates, or assess performance. Intake volume was high, but without real-time reporting or standardized pipelines, it was difficult to pinpoint bottlenecks, prioritize leads, or project revenue.

Manual processes that limited growth

Document collection, follow-ups, and client communications all had to be handled manually, slowing turnaround times and putting strain on staff. Even though Venar wanted to automate, the tools he tried before Lawmatics either lacked flexibility or required developer-level skills to customize.

What our customer have to say

“If I can dream it, I can build it in Lawmatics. The only limit is my creativity and it’s given me the freedom to focus on growing multiple businesses instead of managing intake."

Benefit highlights

Scalable infrastructure

Lawmatics served as the intake backbone for Ayar Law, DV Injury Law, and Ayar Accounting — enabling Venar to launch and operate multiple companies with the same automated systems, without the need for additional developer resources.

Rapid onboarding and training at scale

Over 100 intake agents, case managers, and support staff were trained quickly and consistently, thanks to standardized workflows and a user-friendly platform that minimized ramp-up time.

Massive gains in efficiency and volume

With automated follow-ups, e-signature collection, and detailed pipelines, the team was able to process 25,000+ clients and handle 300–400 sign-ups per week at peak, including $500M+ in ERC claims, without proportionally increasing headcount.

End-to-end intake automation

Every stage of intake, from the initial call trigger to the signed agreement, was fully automated, eliminating missed follow-ups and reducing manual workload for staff.

Consistent client experience across case types

Whether handling tax resolution, mass tort intake, or ERC claims, clients experienced a seamless and professional onboarding process — enhancing trust and reducing friction.

Real-time visibility into performance

Detailed pipelines and reporting tools provided immediate insight into lead status, conversion rates, and operational bottlenecks, allowing leadership to make informed decisions and adapt quickly.

Power features

Custom forms

Lawmatics forms streamlined data collection across all practice areas, making it simple to capture client information, obtain e-signatures, and ensure complete files from the start. Each form could be quickly customized to fit new programs, campaigns, or case types without developer help.

Automations

From the moment a lead entered the system, automated workflows managed every step — triggering follow-ups, moving prospects through pipelines, and assigning tasks to the right team members. Thousands of these automations now run behind the scenes, keeping operations moving without manual oversight.

Pipelines

Highly detailed pipelines were built for each business unit — including ERC claims and mass tort intakes — to guide thousands of matters from lead to resolution. These pipelines gave Venar and his managers real-time visibility into progress, bottlenecks, and performance at every stage.
